What is a contributor?

A contributor is a member of the team involved in the program who does not necessarily have full access to the account as whole. Contributors can be mentors, work coordinators, or even your attorneys, depending on the level of access you would like for them to have. For example, if your attorneys are simply submitting projects requests, they do not need to be listed as contributors. If you would like to give them the ability to both submit projects and assign them to specific summer associates, a contributor role may be a good option.

How do attorneys get added to the account?

You can add all attorneys in bulk via the Members page of your account. From here, click on the Bulk Upload Members button to download a template that can be filled out in order to import.

Note that we do have API options available. Reach out to us in the help chat and we will coordinate with your Account Manager to send more information!

How do I add a contributor and set their permission level?

Click on your program from the Programs icon.

Next, click Edit Program. Under Roles & Permissions, search for and add from your Members list. Once added, you can set the contributor's permission level.

Is there a way to add contributors with their applicable permission levels in bulk?

How do I change an evaluation form?

While editing your program, navigate to the Evaluations step. From here, click edit questions. You can also access this page through the account Settings via the gear icon at the bottom of the left-hand toolbar.

The Evaluation Questions tab is your bank of questions. The Evaluation Templates can be used to organize these questions into forms, such as "Project Evaluation" or "Mid-Summer Review."

Can I customize the email associated with sending an evaluation form?

Yes! From the Evaluations step of editing your program, you will see this option underneath your project evaluation form, as well as each program evaluation form, if applicable.

When do evaluation emails send?

Project evaluation forms are sent to the assigning attorneys as soon as the project is marked as complete. Program evaluation emails are sent via the Summer Associates table.

How can I send out a program evaluation, such as a end of summer review or self evaluation?

Navigate to the Summer Associates table. Select the applicable summers. Under Bulk Actions, click the Request Program Evaluation button and follow the prompts.

How do I add a summer associate? What information can I add for them?

Click the Add Summer Associates button from the Summer Associates table. From the Create New Summer Associate button, you will be prompted to, at minimum, fill out their name and email address.

Other fields include phone number, extension, law school, the ability to associate to an existing candidate profile, languages, practice areas, mentors, and program details (start and end date, physical location, and employee ID#).

Is there a way to add summers in bulk?

How do I create a project and assign it to a summer associate?

Click the Create Manually option under the New Project drop-down in the Projects table. Note that this drop-down also has a link that you can share with attorneys to submit projects on their own.

To assign a summer, click on the project once it is created. From here, you will see the ability to add one or more associates.

Can I remind the attorneys to complete their project evaluations in bulk?

In the Projects table, bulk select the projects. Under the Bulk Action drop-down, click Send Project Evaluations to Attorney. This will only notify attorneys with outstanding evaluations.

How can I see at at high level which evaluations are outstanding?

Bulk select the summers from the Summer Associates table. Under the Bulk Action drop-down, select Export evaluations as .CSV.

In an external application, such as Excel, sort the Evaluation Status column by Not Submitted.

How can I export a list of summer associates?

Bulk select the summers from the Summer Associates table. Under the Bulk Action drop-down, select Export Summer Associates Table .CSV

How do I export the evaluations as a PDF?

Navigate to the Candidate Review Icon and click on New Candidate Review.

Give your review a title and make sure to select the Program option.

Follow the prompts to customize your review. Once complete, bulk select your summer associates and click the Export drop-down and select Export Packet Details PDF. This will send a link to your email to download the document.

How do summer associates and contributors get access to their portals?

Click on the Copy Program Links button at the top of your program's page.

These links must be sent outside of Flo Recruit. We recommend advising the recipients to bookmark this link.

Do summer associates and contributors need a password?

No, they will only need to verify their email. If they experience issues, make sure they are added to the program first. Once verified, they will receive a magic link to gain access to their portal. Note that clicking the "Remember this device" option will keep the portal verified for up to 90 days.

Can I delete a program?

This action is disabled to help avoid unintentional data loss. If you need assistance with removing a program, please reach out in the help chat.
