Document Collect Setup, Step 5: Emails

For University Admins hosting Document Collect events.

You made it to the last step of setting up your Document Collect event! Let's walk through some of the details.

Please pay close attention to this article because there are emails you will need to turn off if you are doing a document collect event.

At the top of the page, you will be able to view Employer and Student emails separately for the sake of ease and organization:

Let's break down the different components more in depth:

  • Send: This toggle gives you the option to not send certain emails. Note that this function does NOT actually manually push out the email.

  • From: This will default to the university's account name with the domain @floevents.email. Thus, it may be a good idea to ensure that employers and students whitelist this domain so that it does not go to their junk mail.

  • Reply To: This is whomever you wish to receive any questions regarding the emails. You will be able to select from a drop-down list of admins on the account. Therefore, you might opt to add a more general email inbox as an admin. This way, you can set this at the reply to and allow for more eyes to be on any questions you receive.

  • CC and BCC: These fields are optional. The drop-down also pulls from the list of admins on the account.

  • Subject: This field is customizable.

  • Body: This field is also customizable.

  • Variables: These buttons at the bottom enable you to insert code to make your emails more personal. Note that each email has its own set list of variables that are possible.

Below, you will be able to see when each email sends.


Employer Emails

When it sends: When you invite employers to the event using the invite employers function. You will see how to do this in the article covering inviting employers and students. This will NOT send to employers you invited by sharing the registration link with them.

You can also send this manually to employers that have already been invited to your event by going to the employer invitations tab, selecting the employer, and then choosing the send registration email from the send email dropdown.

Intended Use: For employers that have registered for the event and begun submitting jobs, but have not finished. These will be labeled as "In Progress".

When it sends: This will be manually sent later. To do so, you will be able to navigate to Attendee Information, Employer Schedules, Send Email, and then Send reminder email.


When it sends: Automatically when employers submit their registration.

This email must be turned off for Document Collect events. You will not need to request interviewer information from employers as you will not be conducting interviews.

This email must be turned off for Document Collect events.

When it sends: According to your Event Timeline - Date Student Applications are Visible

This email must be turned off for Document Collect Events You will not be running the scheduler, and will not want to notify employers if you do choose to do so.


Student Emails

When it sends: Automatically when students submit their registration. You will see how to invite students in the article covering inviting employers and students.

Note that students will not be able to view job postings until either the Review Period Start Date OR, if you have opted out of this period, the Application Start Date.

When it sends: This will be manually sent later. To do so, you will be able to navigate to Attendee Information, Student Schedules, Send Email, and then Send application deadline reminder email.

This email must be turned off for Document Collect. Employers will not be making decisions on students.

This email must be turned off for preview programs. You will not be using any alternate programming.

This email must be turned off for Document Collect. You will not be running the scheduler, and will not want to notify students if you do choose to do so.
