Work Allocation: Admin - Creating Programs and Evaluations

Work Allocation is a powerful tool to manage your summer programs. In this article, we will cover how to set up a program and enable evaluations.


Creating a New Program

First, navigate to the Programs button:

Next, click on New Program:

Step 1: Program Details

Here, you will be able to build out the basic details:

Once you are ready, click Next.

Step 2: Permissions

From here, you can enable different permissions for both Summer Associates and Contributors involved in the summer program.

Summer Associates

If enabled, in addition to completing projects and changing their statuses, summers can potentially create and edit projects, delete them, and self-assign themselves to new projects.

Contributor Role

In addition to Summer Associate permissions, Admins can also assign Contributors to the program. Contributors are internal team members (Non-Admins) who help manage the program.

To add Contributors:

  1. Click the + Add Contributors button.

  2. Select Non-Admin members from your firm's Member list.

  3. Assign a permission level for each Contributor.

Contributor Permission Levels:

  • Full Access: View evaluations and create/assign projects

  • Limited Access: Create/assign projects only (cannot view evaluations)

  • Full View: View-only access for evaluations and projects

  • Limited View: View-only access for projects


Admins can also enable email notifications for Contributors:

Giving Contributors Access

Once Contributors are added, Admins can provide access to the program using the Copy Contributor Link option. You will want to share this unique link with each Contributor.

When Contributors open the link and authenticate using their email, they’ll be directed to the program interface.

Contributor Experience Based on Permissions

What a Contributor can see or do is determined by their permission level.

Full Access Example (can create projects and view evaluations):

Step 3: Evaluations

Step 3 of creating your program will be creating your evaluations. These can be program-wide or project specific. First, you can create your project specific evaluations. These will apply to all projects that are inside of the created program.

Here, you can either add individual questions to the evaluation, or add questions from a template.

You'll notice the new "Create from template" button. You now have the ability to create evaluation templates that can be saved and reused indefinitely so you don't need to recreate evaluations each summer.

Select the "Edit Questions" button to create and edit templates. Here, select "Program Evaluation Questions" and then "Evaluation Templates".

Select "Create New Template" to create your first template. Here, you can pull in questions from your Evaluation Questions tab.

If you need to create new ones or edit existing ones, you can do so by switching to the "Evaluation Questions" tab. You'll need to name your template, and then add at least one question before saving.

Once saved, navigate back to your program. Here, select the "Create from Template" button to apply your newly created template to your project:

Then, in the pop-up, select the template:

Once applied, you'll see an email template appear below your questions. You can edit this template as needed, or turn it off if you would prefer to not send it:

Once edited, select the Save Changes button to proceed:

Scrolling down, you'll now be able to create and edit your program-wide evaluations. To do so, select the "Add Program Evaluation" button:

These program evaluations are flexible, and you can create them for summers to self-review, and or for Attorneys to review summers:

Similarly to project evaluations, you will need to name the evaluation, and then can either add individual questions, or add an existing template.

You will additionally have the ability to add and customize an email alert.

If you would like to add a self-evaluation in addition to the Attorney review, select the "Add Program Evaluation" again:

Then, you will follow the same steps for the summer self-evaluation:

Step 4: Emails

The final step in setting up your program is enabling emails:

There are 6 different Admin emails you can turn on or off. These will alert the Admin when different changes are made to the project.

Following this section, you have the ability to turn on or off 4 Attorney emails and one associate email:


Organizing Summer Associates into Groups

Recruiting teams can now organize their summer class into Groups to improve collaboration, streamline access, and enhance mentorship opportunities throughout the program.

Groups allow you to organize Summer Associates within a program into smaller cohorts. This will help your team, create tailored mentorship and support structures, control visibility for team members so they only see relevant associates, and simplify management of large summer classes.

There is no limit to how many groups you can create within a single summer program.

Benefits of Using Groups

  • Stronger Mentorship Connections: Assign mentors to a specific group of associates for more personalized engagement.

  • Controlled Visibility: Ensure team members or Contributors only view the Summer Associates relevant to their role.

  • Program Organization: Break down your class by office, department, or any criteria that fit your program’s structure.

Getting Started

To create a group, first click Add Group:

From there, each group will require a name and names must be unique between groups.

Once the group has been created, Contributors and Summer Associates can be assigned. You can do this by clicking into the group and selecting either the Add Summer Associates or Add Contributor button to add the appropriate people.

Adding Summer Associates to a Group

To add Summer Associates to a group:

  1. Click the Add Summer Associate button within the group.

  2. A modal will appear listing all Summer Associates created for the program.

  3. Select the summer(s) you’d like to add.

💡 Tip: If a Summer Associate is not listed, navigate to the Summer Associates tab and add them to your program first. Then return to the group.

Once added, the Summer Associates will appear in the group list. You can remove someone from a group at any time by clicking Remove.

Important Notes:

  • A Summer Associate can only be assigned to one group.

  • Once assigned, they will no longer appear in the selection list when adding Members to other groups.

  • An indicator will appear on their profile showing which group they belong to.

Adding Contributors to a Group

To assign a Contributor to a group:

  1. Click the Add Contributor button within the group.

  2. A modal will appear showing all Contributors added to the program.

  3. Select the Contributor(s) you’d like to assign to this group.

💡 Note: If the Contributor is not listed, you will need to return to your program settings and update Step 2: Roles & Permissions to add them first. Then come back to the group to assign them.

Before confirming, you’ll be able to review and adjust each Contributor’s permission level.

Once added, Contributors will be listed in the group details. You can remove a Contributor by clicking Remove.

Contributor Visibility Rules

Contributors can be assigned to one or more groups, or none at all. Their access within the program depends on whether they’ve been assigned to a group and their permission level.

If a Contributor Is Not Assigned to Any Group:

  • They can view all Summer Associates across all groups.

  • They have access to all projects, including unassigned projects.

If a Contributor Is Assigned to One or More Groups:

  • They can only view the Summer Associates in their assigned groups.

  • They can only view projects related to those Summer Associates, plus unassigned projects.

Contributor Permission Levels

Each Contributor’s actions within the program are determined by their assigned permission level:

How Contributors Access the Program

Contributors can access their assigned summer program using the Copy Contributor Program Link, which is generated by an Admin. Once a Contributor authenticates with their email address and enters the program, what they can see and do will depend on whether they’re assigned to a group and their assigned permission level

Group-Based Visibility

If a Contributor is assigned to a group, they will only be able to view:

  • The Groups they are part of

  • The Summer Associates assigned to those groups

Their interaction with the program (e.g., viewing evaluations or creating projects) is limited based on their permission level.

Example 1: Contributor Assigned to Multiple Groups

In this example, Paige is assigned to both Team 1 and Team 2 so she can view both teams under the Groups tab

With this, Paige will be able to view all of the Summer Associates assigned to either of those teams under the Summer Associates tab.


Example 2: Contributor Assigned to One Group

In this case, Tina is assigned to Team 1 only she will only see Team 1 under the Groups tab.

Additionally, Tina will only be able to view the Summer Associates assigned to that team under the Summer Associates tab.
