Creating Programs and Evaluations

Work Allocation is a powerful tool to manage your summer programs. In this article, we will cover how to set up a program and enable evaluations.


Creating a New Program

First, navigate to the Programs button:

Next, click on New Program:

Step 1: Program Details

Here, you will be able to build out the basic details. Note: Only one Program Owner can be selected at this time. This will be the person receiving the Admin emails for the program.

Once you are ready, click Next.

Step 2: Permissions

From here, you can enable different permissions for both Summer Associates and Contributors involved in the summer program.

Summer Associates

If enabled, in addition to completing projects and changing their statuses, summers can potentially create and edit projects, delete them, and self-assign themselves to new projects.

Contributor Role

In addition to Summer Associate permissions, Admins can also assign Contributors to the program. Contributors are internal team members (Non-Admins) who help manage the program.

To add Contributors:

  1. Click the + Add Contributors button.

  2. Select Non-Admin members from your firm's Member list.

  3. Assign a permission level for each Contributor.

Contributor Permission Levels:

  • Full Access: View evaluations and create/assign projects

  • Limited Access: Create/assign projects only (cannot view evaluations)

  • Full View: View-only access for evaluations and projects

  • Limited View: View-only access for projects


Admins can also enable email notifications for Contributors:

Giving Contributors Access

Once Contributors are added, Admins can provide access to the program using the Copy Contributor Link option. You will want to share this unique link with each Contributor.

When Contributors open the link and authenticate using their email, they’ll be directed to the program interface.

Contributor Experience Based on Permissions

What a Contributor can see or do is determined by their permission level.

Full Access Example (can create projects and view evaluations):

Step 3: Project Settings

Step 3 of creating your program will allow you to customize your Project form. You will be able to select which fields will appear on the form, as well as select which are required by using the toggles.

Please note that the project name is always required and therefore not configurable.

Additionally, assigning attorneys is always required to be on the form but you do have the ability to define whether the field is required or optional when creating a project.

The Comments field will provide a space on the form to offer additional details that are not captured in any of the other form fields. You will have the option to change the visibility of this section so that only admins can view the field and stay hidden from summer associates.

We have also added a new column in the project table to show comments that were submitted with the form:

If you update the program setting to allow the Summer Associate to view the Comment field, the field will be exposed when they are viewing the project table from their portal, when they are creating a project, and when viewing the project details.

When viewing the project details page, only the fields that were selected for the form are visible on the left:

Additionally, when viewing the project table, only the fields that were selected in the column management tool are visible.

Similarly, when the Summer Associate accesses their portal or creates a project on their end, they will only see the fields selected for the project form.

Step 4: Evaluations

Step 4 of creating your program will be creating your evaluations. These can be program-wide or project specific. First, you can create your project specific evaluations. These will apply to all projects that are inside of the created program.

Here, you can either add individual questions to the evaluation, or add questions from a template.

You'll notice the new "Create from template" button. You now have the ability to create evaluation templates that can be saved and reused indefinitely so you don't need to recreate evaluations each summer.

Select the "Edit Questions" button to create and edit templates. Here, select "Program Evaluation Questions" and then "Evaluation Templates."

Select "Create New Template" to create your first template. Here, you can pull in questions from your Evaluation Questions tab.

If you need to create new ones or edit existing ones, you can do so by switching to the "Evaluation Questions" tab. You'll need to name your template, and then add at least one question before saving.

Once saved, navigate back to your program. Here, select the "Create from Template" button to apply your newly created template to your project:

Then, in the pop-up, select the template:

Once applied, you'll see an email template appear below your questions. You can edit this template as needed, or turn it off if you would prefer to not send it:

Once edited, select the Save Changes button to proceed:

Scrolling down, you'll now be able to create and edit your program-wide evaluations. To do so, select the "Add Program Evaluation" button:

These program evaluations are flexible, and you can create them for summers to self-review, and or for Attorneys to review summers:

Similarly to project evaluations, you will need to name the evaluation, and then can either add individual questions, or add an existing template.

You will additionally have the ability to add and customize an email alert.

If you would like to add a self-evaluation in addition to the Attorney review, select the "Add Program Evaluation" again:

Then, you will follow the same steps for the summer self-evaluation:

Step 5: Emails

The final step in setting up your program is enabling emails:

There are 6 different Admin emails you can turn on or off. These will alert the Admin (Program Owner only) when different changes are made to the project.

The next step is contributor emails:

Following this section, you have the ability to turn on or off 4 Attorney emails and one associate email:
