Merging Candidates

If one candidate has duplicate profiles, you can merge the two profiles together and note which one is the primary profile.

Merge Candidates: It's as simple and useful as it sounds. Occasionally a candidate uses different email addresses to register at different events, which creates duplicate profiles. Now, you can select multiple profiles and click Merge Candidates. You can then choose which profile becomes the Primary Candidate Profile.

The email, phone, resume, and transcript will be kept from the primary candidate profile. All feedback comments, events, and answers to qualifying questions will be merged together into the primary candidate profile.  

How to Merge Candidate Profiles: ATS

To merge candidate profiles, navigate to the Candidates page. Then select the two profiles you would like to merge, and from the Actions dropdown select "Merge Duplicates"

After selecting Merge Duplicates, you can select the primary candidate profile.

The following information and activities will be combined between the two records:

  • Jobs: All jobs between the two records will be retained

    -If the candidate is in the same job twice, the primary candidate’s job application will be kept (see more detailed information about merging candidates within the same job below)

  • Events: All events between the two records will be retained

    -If the candidate is in the same event twice, the primary candidate’s event details will be kept

  • Interviews: All interviews between the two records will be retained

    -If the candidate is in the same interview twice, the primary candidate’s interview details will be kept

  • Documents: The most recent document will be retained

  • Qualifying Questions: Questions and answers will be combined between the two records.

    -In the event that the two records have differing answers for the same questions, the most recent answer will be retained

  • Internal Fields: fields that are populated will be combined between the two records. -In the event that the two records have differing values for the same field, the most recent value will be retained

  • Self ID: questions and answers will be combined between the two records.

    -In the event that the two records have differing answers for the same questions, the most recent answer will be retained

Note: When the merge action is completed, there may be a 3 second delay for the screen to refresh and the merged candidate to be removed.

Merging Duplicate Records within the same job: ATS

If the two duplicate records are associated with the same job, you will need to merge those records from the candidate list page.

For example, this candidate has two applications listed for the same job:

After these 2 candidate records have been selected from the Candidates page, and the merge action has been started, you will see that they are both in the same job but have different sources, statuses, and application dates:

In this scenario when indicating the primary profile, choose the record that is not as far along in the process with a source of OCI. When Merge Records is selected, you will be prompted to select a status for this candidate.

This option will only be presented if the records being merged share the same job. This retains the primary candidate’s information even if that record is not as far along in the pipeline, and you can still apply the appropriate status to the remaining record.

After the merge is complete, the user record that was chosen, Sophie Garcia (cindy.walter+sophie@florecruit.com), shows an application for Product Designers Rock with a selected status of Interview Completed. The application date remains the same for the record as does the source:


NON-ATS CUSTOMERS

For our non-ATS customers, merging candidates looks a little bit different. From your candidates page, select the candidates you wish to merge, and then select the "Merge Duplicates" option in the top right of the screen:

Once selected, you'll have the opportunity to choose the primary candidate profile to add the information to. Regardless of the profile chosen, all feedback comments, events, and qualifying question answers will be retained:
