How to Use Flo AI

Written by Kaylee Welling

Flo AI helps you quickly find insights across your Flo data using questions. Whether you're looking for recruiting trends, application statistics, hiring outcomes, or performance review information, the way you structure your prompt can make a big difference in the results you receive.

Use these tips to get clear, complete, and accurate answers from Flo AI.

Where to Find Flo AI

In your account, Flo AI is represented by a lightning bolt icon in the upper-right corner of supported pages. Flo AI is not available on every page. In Recruitment, you can access Flo AI from the Reporting page:

How to Talk to Flo AI

Be Specific About What You Need

The more specific your question is, the easier it is for Flo AI to understand exactly what you're looking for. Include details such as the job type, recruiting year, review cycle, or date range when they're relevant.

Instead of:

"Tell me about our summer program."

Try:

"How many candidates applied to our Summer Associate 2027 jobs, and how many received offers?"

Ask for Multiple Data Points as a List

When you need several pieces of information, list each item separately rather than combining everything into a paragraph. This helps Flo AI return a complete answer without overlooking part of your request.

For example:

For all of my Summer Associate 2027 jobs, create a chart named "Recruiting by the Numbers" that includes:

  1. Total applications

  2. Total law schools represented

  3. Applications from T14 law schools

  4. Screening interviews completed

  5. Callbacks completed

  6. Offers made

  7. Offers declined

  8. Offers accepted

  9. Overall yield rate

Define Categories That Could Be Ambiguous

If you're using a category or definition that could have multiple interpretations, tell Flo AI exactly what you mean.

For example, definitions such as T14 law schools may vary depending on the ranking or year being referenced. You can provide the exact schools you want included or ask Flo AI to explain the definition it used.

Try asking:

"Which schools are you counting as T14 in that answer?"

Providing these definitions upfront can help ensure your report matches the criteria your organization uses.

Start a New Chat if the Numbers Don't Look Right

Flo AI uses the context of your current conversation when answering follow-up questions. That can be helpful when you're exploring your data, but earlier questions or instructions can sometimes influence later responses.

If your results begin to look inconsistent, start a New Chat and enter a clean, complete version of your prompt.

This is especially helpful when you've made several corrections or changed the scope of your original question.

Confirm Names and Matching Before Sharing Results

Before sharing Flo AI results externally, confirm that names, jobs, schools, or other values are being matched the way you expect.

For example:

"Are you matching [name] to how it's listed in our system? Are any variations of the name being treated separately?"

If you're creating an important report, it's always a good idea to confirm the criteria Flo AI used before sharing the results.

Ask for the Format You Want

You can tell Flo AI how you'd like your results presented.

For example:

"Can you give me this as a table instead of a chart?"

Depending on what you're researching, you can ask Flo AI to organize the information into a chart, table, summary, or other easy-to-read format.

Flo AI is read-only, so it won't make changes to your Flo data. If you'd like to continue working with the results elsewhere, you can copy and paste the information into Excel or another tool.

Your Permissions Determine What Flo AI Can Access

Flo AI respects your existing Flo permissions.

Recruitment Admins can ask questions about recruiting data, while Performance Management Admins can ask questions about performance data. Admins with access to both products can ask questions that use information from both areas.

If Flo AI isn't returning information you expect to see, check with your Flo Admin to confirm you have the appropriate permissions.

Quick Troubleshooting Guide

Problem

What to Try

Flo AI only answers part of my question

Break your request into a numbered or bulleted list

Numbers don't match a previous report

Start a New Chat and submit a clean version of your prompt

A ranking or category looks incorrect

Tell Flo AI the exact definition or list it should use

I'm unsure whether names are being matched correctly

Ask Flo AI to confirm how it's matching the names

I don't like how the results are displayed

Ask for a table, chart, or another format

My question returns no results

Confirm that your Flo permissions provide access to that data

Prompts to Try

Not sure where to start? Try adapting one of these prompts to your organization:

  • "Which agencies produce candidates who progress furthest in the hiring process? Look at the last two years."

  • "Give me a breakdown of Summer Associate applicants by law school."

  • "What is our average time to offer and time to hire for lateral roles?"

  • "Who hasn't completed their reviews, and how does completion compare with our last review cycle?"

  • "Which recruiting sources produce candidates who progress furthest in our hiring process?"

  • "Show me our Summer Associate applications, screening interviews, callbacks, and offers by recruiting year."

Remember

Flo AI works best when you are specific, define your criteria, separate complex requests into clear steps, and tell it exactly how you want the results presented.
