You can now configure automated reminder emails for each stage of a review cycle — directly in the cycle setup (Step 5: Email Notifications). Reminders are sent only to reviewers who haven't yet completed their tasks, so no one gets an unnecessary nudge.
Setup
For each stage enabled in Step 1, you can configure reminder emails in Step 5. To get started, turn Stage Reminder Email On for the stage you want to configure.
Stages turned on will have a blue toggle:
Reminder Schedule
You can choose to send reminder emails:
5 business days before the stage close date
3 business days before the stage close date
2 business days before the stage close date
1 business day before the stage close date
For each reminder, you can also select the send time and timezone.
Note: Reminder emails are only sent to users who still have outstanding tasks for that stage. Once a user completes all assigned tasks, they will no longer receive reminder emails for that stage.
Example: If all reminder intervals are enabled and a user completes their tasks after receiving the 3-day reminder, they will not receive the 2-day or 1-day reminders.
Customize the Email
An Email Preview is displayed by default with suggested content.
To customize the email:
Click Edit Email.
Use the email builder to update the subject and message content.
Insert available email variables from the list displayed below the email body.
Ensure to click Save in the upper right hand corner when you are finished making edits.
Email Recipients
Reply To: Defaults to the logged-in administrator but can be changed to any user in the User List.
Cc: Select one or more users from the User List.
Bcc: Select one or more users from the User List.
After setting your reminder emails, click Save to move on to the Review Step, where a confirmation of reminder emails will now appear as well.
Important Notes
Reminder send dates automatically exclude weekends. The date preview shown in the configuration is based on the stage close date defined in Step 1.
Reminder emails must be scheduled within the stage's active window. If the selected send time falls outside of the stage dates, you'll be prompted to choose a valid time before continuing.
To prevent accidental data loss, the Next button changes to Save whenever there are unsaved changes.
The Stage Link email variable can be used in the email body, but it is not available for use in the subject line.
If a stage's close date is updated in Step 1, all reminder email send dates will automatically adjust to reflect the new timeline.
If a stage is disabled in Step 1, its corresponding reminder email settings will be removed from the Email Notifications step.
