ATS: Agency Fee Agreements

Admins now have the ability to manage fee agreements for the agencies they work with. Multiple fee agreements can be uploaded for an agency and there are various optional fields of information that can be included if desired.

Navigate to the Recruiting Agencies page by clicking on the "Settings" tab, then clicking on "Recruiting Agencies" under "Job Settings" :

If fee agreements have been uploaded for the agency, the details will be viewable from a new agency table. The agency list page has been redesigned with more columns allowing you to filter and sort for the exact agency you need for various hiring scenarios.

The columns available on the table are:

  • Agency Name

  • Agency Status

  • Fee Agreement

  • Agreement Start Date

  • Agreement End Date

  • Agreement Type

  • Country

  • Fee Percent

  • Specialty Area

When you click on an agency to view from the table, a page with 2 tabs will appear:

  • The Contacts tab displays all agency contacts along with their email, phone number and a reference to notes that have been created for that contact.

    • If notes exist for a contact, a View Notes link appears in the Notes column. Clicking it opens a slide-out with the full contact details for the contact and all associated notes.

    • You can add multiple notes directly from the slide-out using the Add Note link.

  • The Fee Agreements tab will house all uploaded fee agreements for that agency.

    Multiple fee agreements can be uploaded and the details that are visible will vary according to what is provided when the document is uploaded.

    • Users can view the document from this tab by clicking on the document name. The document will open in a new tab.

    • If both the start and end date are provided for a fee agreement we can determine whether it has expired. Expired agreements will have an ‘Expired’ tag.

Uploading a Fee Agreement

You can upload a fee agreement by clicking ‘Upload Fee Agreement’. From there, you can browse or drag and drop the appropriate file. Once uploaded, the file can be viewed in a new tab by clicking the egress icon.

Fields that are required to save the file are:

  • Document Name

  • Fee Agreement Effective Date

Optional fields include:

  • Fee Agreement End Date

  • Type of Agreement

    • Standard

    • Modified

    • Group

    • Candidate

    • Other

  • Fee %

  • Country

    • United States

    • Canada

    • United Kingdom

  • Specialty Practice Areas: pulled from firm specific to the firm configured practice areas and multiple can be selected

  • Add Note: multiple notes can be added

Once saved, the agreement appears in the list. Clicking the agreement link opens it in a new tab.

Notes can be viewed by clicking the arrow to expand the card.

You can delete the fee agreement or edit the details by clicking on the 3 dots and selecting the option from the menu.

Viewing Fee Agreements via the Slide Out

If a candidate is submitted to a job by an agency, the admin will be able to see whether a fee agreement exists within the ATS.

If an agency has multiple active agreements (no end date provided causing the agreement to expire), the admin will see View All. When selected, the list of fee agreements for that agency will open in a new tab.

If an agency has a single active agreement, the admin will see the name of the fee agreement. When selected, fee agreement will open in a new tab.

If no fee agreements have been uploaded for the agency, the admin will see the Fee Agreement blank.
