Where This Feature Is Available
Admins can send emails from the following areas of the application:
Candidate List Page – Send emails in bulk.
Candidate Profile Page – Send an email to an individual candidate.
Job Application (from Profile) – Send an email to the candidate or agency contact (depending on submission source).
Slide-Out Panel on the Job Details page – Send an email to the candidate or agency contact (depending on submission source).
Note: Bulk email sending from the Job Details page is not available at this time.
Sending Emails from the Candidate List (ATS Customers)
To send an email from the Candidate List page, you will select one or more candidates, then click the Actions icon and select Send Email:
The Send Email option will only be enabled if the following conditions are met:
At least one selected candidate has an email address.
If no candidates are selected, the option will be grayed out with a message.
All selected candidates must have an email address.
If none of the selected candidates have an email address, the option will be grayed out with a message.
No more than 100 candidates are selected.
If more than 100 candidates are selected, the option will be disabled with a message.
Once Send Email is selected, an email template modal will appear. If any selected candidates do not have an email address, a warning will display. This warning will not prevent you from sending the email to valid recipients.
From the Email Modal, You Can:
Add or remove candidates in the To field
Select a Reply To address
Add CC recipients
Add BCC recipients
Add your Subject (required)
Add the Body of your email (required)
Since this email is sent from the Candidate List page and is not tied to a specific job or context, the available variables are general.
After selecting Next, a confirmation modal will appear.
This modal confirms how many candidates will receive the email before sending.
Email Logging
All emails sent through this feature are logged on the candidate’s profile. The email will appear in the Communications tab and will display a note at the bottom of the message stating “This email was manually generated using Flo Recruit.”
Sending Emails from the Candidate Profile Page
Admins can also send emails directly from an individual candidate’s profile. Here, the candidate’s email address will appear as a hyperlink. If no email address is provided on the candidate profile, this option will not be available.
When selected, the same email modal described above will appear:
Important: From the Profile page, you cannot add additional candidates to the To field.
Sending Emails from the Job Application (ATS Customers)
Admins will also find this functionality on the job application which can be accessed directly from the Candidate Profile or the job details page via the slide-out.
If the Candidate Was NOT Submitted by an Agency
If the candidate’s source is not an Agency, you will see a Send Email button. Selecting this will initiate an email directly to the candidate.
If the Candidate Was Submitted by an Agency
If the candidate’s source is by an Agency, you will see a dropdown button. Here, you can choose to send the email to the Candidate or the Agency Contact. If an email is sent to the agency contact, the email will still be logged under the candidate’s profile.
Things to note:
If the agency contact does not have an email address, that option will be grayed out.
If the candidate does not have an email address, that option will be disabled.
If neither party has an email address, the entire Send Email option will be grayed out.
Email Variables (Job Application Context)
The email modal from the job application is similar to the Candidate Page and Profile but includes additional variables because the system recognizes the job and submission context.
Available variables may include:
Candidate First Name
Candidate Last Name
Job Name
Firm Name
Agency First Name
Agency Last Name
