Interviewers: Attending your Interviews and Downloading Documents

Step by step instructions on attending your interviews, including bulk downloading documents and reviewing candidate information.

The Basics

Step 1: Receive Your Scheduling Email.

Before the event, you will receive an email and/or Outlook calendar invitation from @floevents.email containing your unique link to the virtual interview room. This link provides access to your interview schedule and candidate information. For school-hosted events, if you can no longer attend, you may alert the event organizer and share your link with your replacement.

Don't worry - opening the link before your interview will not place you into a meeting. It will simply allow you to view your schedule and prepare for the event. For the best experience, we recommend using Google Chrome. Internet Explorer is not supported.

Step 2: Enter Your Virtual Lobby

You will now be in the Virtual Lobby, where you will be prompted to acknowledge Zoom’s Terms of Service:

You can view your interview schedule for the current day. By clicking on the timeslot, you can review the candidate’s information.

Five minutes before your scheduled interview, the Join Call button will become enabled.

Before joining, you can preview and test your camera and microphone by clicking Test Audio and Video at the bottom of the screen.

Step 3: Join Your First Meeting

Click Join Call to enter your meeting. You will see a preview of your video and can also select a virtual background.

Note: Noise cancellation defaults to your browser’s built-in setting. For the best audio quality, we typically recommend switching to Zoom's noise removal.

To enable Background Noise Removal:

  1. Click the caret (^) next to the Microphone icon.

  2. Select Audio Settings

  3. Select Zoom background noise removal

The candidate will automatically join the virtual interview room - you do not need to admit them. If you are working remotely and experience connection issues while connected to your VPN, we recommend disconnecting from the VPN or joining the interview from a personal device. If you need technical assistance at any point, all participants can contact the Flo Support team using the chat button in the bottom left corner of the screen.

If you're experiencing issues using the meeting in your browser, you can seamlessly move the meeting to the Zoom desktop app. To do so, click the caret (^) next to the Participants icon, then select Copy invite link. Paste this into your browser’s url bar to redirect to the desktop app.

Step 4: Move Through Meetings

You and the candidate will both hear and see a two minute warning appear when there is two minutes left in the meeting:

If you have back-to-back interviews, clicking Join Call will automatically take you to your next scheduled meeting. Before joining, you'll see a preview screen where you can check your camera and microphone settings. If you need a little more time, click Remind Me to snooze the notification. The reminder will reappear one minute later.

Additionally, you will also see a Join button appear if you have back-to-back interviews on your side panel schedule. Clicking Join will take you straight to the next interview.

Viewing Candidate Documents

Select the "Download Documents" button on the Virtual Lobby page or from within the meeting room to view and export applications of all students you'll be interviewing with:

Selecting this will open a table containing all student applications. Use the column management tool to select which information you'd like to appear in the columns:

Note that any information shown will be present in your export when using the "Export as .csv" button as well as candidate email addresses.

Clicking on the hyperlinked candidate's name will open a small side panel where you can view all submitted information by the candidates:

Use the name and arrows at the bottom to move through candidates in this way.

If you'd like to export documents, select the students you'd like to export documents for by using the check boxes to the left of their name. Once selected, the "Download Documents" button will appear active. This will allow you to download a bulk PDF file of all submitted documents for candidates that you're scheduled to interview:

You will receive an email with a link to bulk download the student supporting documents:
