Creating, managing, and exporting evaluations.

Creating Evaluations

When creating a new program, you will manage evaluations in Step 3. These can be program-wide or project specific. First, you can create your project specific evaluations. These will apply to all projects that are inside of the created program.

Here, you can either add individual questions to the evaluation, or add questions from a template.

You'll notice the new "Create from template" button. You now have the ability to create evaluation templates that can be saved and reused indefinitely so you don't need to recreate evaluations each summer.

Select the "Edit Questions" button to create and edit templates. Here, select "Program Evaluation Questions" and then "Evaluation Templates".

Select "Create New Template" to create your first template. Here, you can pull in questions from your Evaluation Questions tab.

If you need to create new ones or edit existing ones, you can do so by switching to the "Evaluation Questions" tab. You'll need to name your template, and then add at least one question before saving.

Once saved, navigate back to your program. Here, select the "Create from Template" button to apply your newly created template to your project:

Then, in the pop-up, select the template:

Once applied, you'll see an email template appear below your questions. You can edit this template as needed, or turn it off if you would prefer to not send it:

Once edited, select the Save Changes button to proceed:

Scrolling down, you'll now be able to create and edit your program-wide evaluations. To do so, select the "Add Program Evaluation" button:

These program evaluations are flexible, and you can create them for summers to self-review, and or for attorneys to review summers:

Similarly to project evaluations, you will need to name the evaluation, and then can either add individual questions, or add an existing template.

You will additionally have the ability to add and customize an email alert.

If you would like to add a self-evaluation in addition to the attorney review, select the "Add Program Evaluation" again:

Then, you will follow the same steps for the summer self-evaluation:


Sharing Evaluations

If email alerts are turned on, the project evaluations will be sent to the assigning attorney when a project is marked as complete. However, you can also manually trigger these.

Project-Specific Evaluations

To manually trigger the assigning attorney feedback email, view the projects table. Select the projects for which you wish to send the requests for using the check boxes, and then select the request evaluation option from the Bulk Actions dropdown:

To manually trigger the summer associate feedback email, you'll follow the same process from the Summer Associates tab:

Program Wide Evaluations

To share the program wide evaluation link with attorneys, you can copy the program link using the "Copy Program Links" button and selecting the feedback option:

You will need to share this link externally to Flo Recruit. Any attorney that has been added to your account as a member will be able to fill out feedback.

As attorneys leave feedback, you will be able to see this from within the specific project. From here, click on the associate's name to view the feedback in the slide-out menu:


Exporting Evaluations

From the Associate's tab, you also have the ability to export these evaluations. As long as you have at least one of the associates selected, you will be able to export these evaluations as a .csv file:

After selecting this, you have the option to either export all evaluations, or export evaluations that fall inside of a specified date range:

The export will include:

  • First name

  • Last name

  • Email Address

  • Program Name

  • Type: Project or Program Evaluation

  • Evaluation Name

    • Project evaluations will always say Project Evaluation

    • Program evaluations will have the evaluation name provided when the program was created

  • Project Name: will only populate for project evaluations

  • Project Description: will only populate for project evaluations

  • Project Status: will only populate for project evaluations

  • Office: will only populate for project evaluations

  • Practice Area: will only populate for project evaluations

  • Assignment: will only populate for project evaluations

  • Date Evaluation was Requested

  • Evaluation Status: will show Not Submitted or Complete

  • Date Evaluation was Submitted

  • Member Name

    • will be blank if the evaluation was completed by a summer associate

  • Member Email Address

    • will be blank if the evaluation was completed by a summer associate

  • Feedback Questions and answers are listed in individual columns
