How Admins can create, solicit, and manage projects

Manually Adding Projects

Once your program has been created, click on its title and you will see the option to Add Projects.

When adding new projects, you can enter an identifying number for the Client and the Client Project. You will also be required to customize the Project Name:

Note in the above screenshot that you can also enter a description, designate the office location, practice area, and type of assignment.

Next, the Project Timeline is where you will communicate an expected turnaround to the associate:

Lastly, you will need to designate which Attorney will be reviewing the project:

The drop-down list will generate from the Members page of your account.


Soliciting Projects

Another method for adding projects is to send the request link to your Attorneys.

If you click on New Project from within the specific program's page, you will the option to copy the request project link:

You can copy this link and then send it outside of Flo Recruit to your Associates.

So, what does this link look like from the Attorney's perspective?

The main difference is that, if they do not have a Flo account themselves and are not signed in, they will first need to verify their email:

After verifying their email address, they can fill out the project request form:

Attorneys will need to confirm that they want to submit a project before officially doing so:


Managing Projects

From the specific program's page, note that you can use the column management tool to customize your view:

Once you click into a specific project, you will see the project details on the left hand side:

Note how you will be able to Add Associates to assign them to this project. You can do so by simply clicking the Add Associates button and scrolling through the list or clicking on the + New Associate button. The main required fields are first name, last name, and email:

Both the associate and Attorney will be notified over email once a project is assigned, as long as this email notification has been turned on.

Once associates are added, you may upload documents on their behalf. Note that the file type must be a PDF:

As long as you have at least one of these documents selected, you can bulk download to share with Attorneys, or bulk delete:

As associates move through the process, you will be able to update the status of the project:

Associates can also change these statuses as well.


Managing Associates

In addition to the above information about how to assign a project to an associate, you also have the ability to add Summer Associates directly to the program and see how many projects an associate has currently been assigned through the associates tab of the program:

Adding Summer Associates to a Program

When adding Summer Associates to a program, Admin's have two options:

  • Create a New Summer Associate: For individuals participating in the summer program for the first time.

  • Select a Returning Summer Associate: Choose a summer who has previously worked at the firm.

Creating a New Summer Associate

When you select Create New Summer Associate, a form will appear where you can input detailed information across several sections:

1. Summer Associate Details

  • First Name (required)

  • Last Name (required)

  • Email (required)

  • Phone Number and Extension

  • Law School

  • Associate to an Existing Candidate Profile: Linking this summer to a candidate from your applicant list will allow the system to unify their job, interview, event, and program data under one profile.

  • Languages: Multiple languages can be selected.

  • Practice Areas (up to 5): You can add multiple practice areas and reorder them using drag-and-drop to reflect preference.

2. Assigning Mentors

Admins can assign one or more mentors to each Summer Associate.

  • There is no limit to the number of mentors a summer can have.

  • To assign a mentor:

    1. Select the Mentor Role (options include: Partner, Associate, or Office Mate).

    2. Select the Mentor Name from the firm’s Member list.

3. Program Details

Admins can also set program-specific information for each summer:

  • Start Date

  • End Date

  • Physical Location

  • Split Office: Indicate whether the summer will work from multiple offices during the program.

  • Employee ID # (optional)

Once saved, just like from within each specific project, you can click on a summer's name to trigger the slide-out menu. A summer’s information will be visible in the Program Profile tab. You can edit any field by clicking into it directly.

Summer Associate Portal Access

Summer Associates can view their profile details through their portal. The only section they are able to edit is their Practice Areas. They can update, remove, or reorder them throughout the duration of the summer program.
